It’s a bit late for New Year’s resolutions, but we still want to make a commitment – with a bit of your help. The global pandemic is not slowing down and the global ecology is not something to be optimistic about. In times like these a good deed is worth its weight in gold. Digits, digits everywhere…
We live in a world that is constantly digitizing. Even though we still record many of the important matters on paper, we would like to take a big step towards ecology and convenience by systematically giving up paper documents in favor of digital files. It’s fast, it’s handy and it’s logistically efficient – it’s the right thing to do when it comes to taking care of the environment and it’s a way to improve productivity.
Fast and curious
Digital files can be generated and delivered within 24 hours of delivery. They don’t get lost on the way, no one is waiting in a post office line for them and if by some chance they get deleted – we wll immediately send a copy from our save archive. Text files, scans and all sorts of attachments can be stored on external drives, USB sticks or in the cloud. Disk space is not cheaper than ever before and the market is filled to the brim with archivization apps and backup solutions – none of which require more than five minutes of implementation. Indexing and searching digital folders and databases is immeasurably faster than walking around the office and browsing through endless binders.
Think about nature
The ecological aspect is also important – paper is really stubborn about not dropping in price, printer ink is practically more expensive than life-saving blood and servicing office equipment and appliances is a huge chunk of every company’s budget. Let’s protect the forests, let’s protect our finances and save our office space – when digitized, the historical documentation of any company at most takes up a single drawer. If you work at it for a bit, you can also fit some staples and a donut in there.
Already ready
On our end, the digitizing process is already implemented and secured with appropriate procedures. Your documents are constantly archived and saved, with uninterrupted access available at a moment’s notice – so are their paper counterparts. The paper trail still stays with us, properly recorded and safe from external factors and the elements. In our day to day work, however, we will use the digital versions of almost all documents.
Memento libri
We all remember and cherish the rustic smells of huge libraries and spacious warehouses filled with documents. Keeping up with the times it is worth considering a step towards digitization, saving materials and saving human resources. We are at a curious time in history, where hundreds of thousands of pages and documents don’t take up an enormous room in the basement, but simply fit in a pocket.
